Diary Facility
Naturally the first thing that you want to do will be produce tenancy agreements, these are done very simply using the data that you have already entered in the property management software. Within the tenancy details of each property there are tabs for the Current Tenant Details, Agreement details, Previous Tenants, Payments. These tabs make it very easy to find both current end previous data relating to the property.
Once any payments received from a tenant are recorded this data is automatically transferred to the financials tab within the property and thus calculates how much is payable or due from the landlord. Naturally, all bond payments are recorded separately from rent as TDS, DPS or My Deposits.
As with everything in jakX the property record is the main function, the more accurate data entered here the easier things are throughout the life of that property. The property record holds all the information with regard to the Let and can be accessed very quickly.
- Services
- The utility companies associated to the property are logged here along with the local council data and any record of lenders for Buy to Lets.
- Contractors
- Landlords preferred contractors for all services can be listed here so that if there is an issue its easy to find out who (if anyone) is the first port of call.
- Inventory
- All items can be recorded with details of condition and quantity and then printed off for checking on the next visit.
- Repairs/Service Fees
- All issues can be recorded, an invoice generated to the landlord if required and any outstanding monies added to the financials tab.
- Financial
- This details any overdue rent, the management fee due, the total amount owed or due from the landlord. It is from here that you also record any payments made to or received form the landlord.
- Certificates and Visits
- Certificates such as Gas, EPC, Electrical etc are recorded here and auto diarised so that reminders are populated in the diary before they expire. All inspection visits are recorded here also as well as in the diary.
